Call for Proposals opens July 12, 2015 and closes
October 2, 2015 - 12:00 midnight Eastern Time

OVERVIEW

SNA’s Annual National Conference (ANC) provides a unique experience for school foodservice and industry professionals. ANC caters to you and the challenges you face on a daily basis by providing targeted learning sessions to help you navigate the ever changing school nutrition environment.

To ensure a high quality of presentations, a volunteer committee of school nutrition professionals including industry support, help develop and identify timely topics and expert presenters. 

To guarantee conference program content that is timely, relevant and targets the attendees’ needs, the committee reviews and rates all proposals. The committee may supplement programming by inviting speakers to address specific topics as identified.

SESSION INFORMATION

  • SNA will only accept Call for Proposals meeting the following formats for ANC:
  • Education Sessions: 60-minute, interactive lecture session on a specific topic that is presented and discussed.

    • Take place on Sunday, July 10, 2016 through Wednesday, July 13, 2016.
    • Include a brief question and answer period within the 60 minute presentation.
    • Panel sessions are limited to 3 speakers/panelists.
    • Sessions are set in theatre style and seating typically accommodates 150-600 attendees per session.

  • Roundtable Sessions: Small group discussions of approximately 60-100 attendees. These small sessions encourage participation and peer-to-peer engagement. Topics should be current and may be relevant to the regulatory program or general operations.
    • Take place on Sunday, July 10, 2016 through Wednesday, July 13, 2016.
    • Attendees expect to actively participate in topic discussions in groups for 60 minutes.
    • Are limited to 3 speakers/panelists.
    • Speaker(s) act as facilitator
    • Sessions are set in rounds and seating typically accommodates 100 attendees per session.

  • 4-Hour or 8-Hour Pre-Conference Sessions: These sessions are designed as interactive, highly collaborative training programs.
    • Take place on Saturday, July 9, 2016.
    • Attendees expect to actively participate in group exercises with hands-on learning experiences with those desirable takeaways.
    • Are limited to 3 speakers/panelists.
    • Sessions are set in rounds and seating typically accommodates 35-50 attendees per session.

  • Pre-Conference, Education and Roundtable Sessions are NOT to be used as a sales or promotional platform for any speaker’s company, products or services. SNA reserves the right to halt speakers from this practice if the situation arises during their presentation.

SPEAKER INFORMATION

  • Speakers agree to be available any day on which SNA assigns the session.
    • Exhibitors that are also speaking should note that SNA will make every effort to afford you with networking opportunities during the Directors-Only exhibit hours. However, due to the metamorphic nature of the schedule we cannot guarantee that your session will not be scheduled during these hours.

  • Speakers do not need to be SNA members; however, if a proposal is accepted ALL speakers must register as conference attendees. Complimentary registration is non- transferrable.
    • If the speaker plans to attend the conference only on the day of their presentation, they will be given complimentary registration only for the day of the presentation. 
    • If the speaker plans to attend the full conference, current SNA membership is required to receive the full registration member rate. 

  • SNA does not provide speaker fees or travel expense reimbursement for pre-conference session and education session speakers.

  • SNA may provide an honorarium for specific “approved” non-governmental agency pre-conference session speakers. The honorarium for the pre-conference session speaker is based on the number of hours for the session.

  • Speakers are expected to make their own travel arrangements unless otherwise mutually agreed upon in writing.

  • Experience has proven that participation at SNA’s ANC programming has often provided exposure for speakers garnishing future speaking engagements; particularly with SNA state affiliates.

SUBMISSION INFORMATION

  • Proposals must be submitted online by 12:00 midnight Eastern Time on October 2, 2015 to be considered.

  • The individual submitting the proposal is considered the primary contact.

  • The primary contact must provide contact information for ALL speakers, including name, address, phone number and email address.

  • Speakers understand that SNA does not permit hard copy handouts containing any promotional information to attendees. 

  • All speakers must accept, sign and return to SNA the Pre-Conference or Education Session Speaker Packet and PowerPoint Presentation per SNA guidelines.

  • If your proposal is selected, presentations must be submitted to SNA which reserves the right to revise presentation titles, reassign the Key Area and/or edit the program summary for promotional and program materials.

  • Changes to submitted presentations may not be made without permission from SNA.

  • Speakers agree that the presentation becomes the property of SNA and may be archived for future use.   

  • SNA may capture (audio/video) selected sessions at which time speakers will be asked to complete a separate release form.

  • The primary contact will be notified of the committee’s decision by October 31, 2015.

  • Note that the submission process does not allow you to save your information or log back in to the system. Here’s what you will need to have in hand prior to submitting your Call for Proposal:
    • Presentation Information: Presentation Focus (Key Area), Title, Learning Objectives, Description, Session Format (Pre-conference, roundtable or education session), Presentation Skill Level, and Target Audience.
    • Primary Contacts Information: Is the contact person an SNA Member, Name, Title, Company, Address, Email, Have speakers presented at ANC before.
    • Speaker Information: Is the speaker a SNA Member, Name, Credentials, Title, Company, Address, Phone, Fax, Email, Level of Education, Field of Study, Background experience with the Presentation Topic along with list of presentations/locations made within the past 12 months.

CALL FOR PROPOSAL CONTENT

  1. Proposals should focus on one of the following key areas: 
    • Nutrition
    • Operations
    • Administration   
    • Communications & Marketing 
  1. Special consideration will be given to proposals that meet SNA's 2015-2016 Strategic Focus.  Once you begin the application process, you will see the full list of topics by Key Area and topics highlighted in red that meet SNA’s Strategic Focus.

PROPOSAL EVALUATION CRITERIA

The committee will evaluate and rate your proposal based on meeting all of the following criteria:

  • Accurate,Timely and Relevant Content
    • Engaging and appropriate title
    • Accurate and up-to-date information
    • Relevant to school nutrition

  • NO Product/Vendor Commercials
    • Commercials/proprietary information for particular products, services, vendors, and promotion of an exhibit booth ARE NOT PERMITTED in the Call for Proposal, the PowerPoint presentation and during the pre-conference/education sessions at ANC. 
    • If commercial/promotional content or promotion of an exhibit booth is included, your proposal will not be accepted for SNA’s ANC educational programming.
    • Food demonstrations, food samples/food tastings/commercials/proprietary information for particular products, services, vendors, and promotion of an exhibit booth ARENOT PERMITTED during the pre-conference/education sessions at ANC.  Any accepted Pre-Conference, Roundtable or Education Session speaker which provides food samples will not be invited to submit future Call for Proposals.
    • For PowerPoint presentations, company logos are only allowed on the opening presentation slide.
    • SNA will also provide a link to the PowerPoint Presentation Guidelines for those sessions that are accepted.

  • Concise Learning Objectives
    • Descriptive learning objectives that address how participants will benefit from the session
    • Learning Objectives should be action statements, defined in terms of knowledge, skills or attitudes participants will learn attending the session
